About Roslyn Home & School

Roslyn School’s Home & School Association, also known as HandS, is a parent-volunteer organization that seeks to enrich the Roslyn experience for all students, families and staff. As a branch of the Quebec Federation of Home and School Associations (QFHSA), we are completely independent of the school’s governance structure, but work closely with the administration to represent Roslyn families’ interests.

What We Stand For

Roslyn HandS  promotes the involvement of parents, students, educators and the community at large in the life of the school. Our goal is to enrich the school experience, support our staff, students, and families, and act as a voice for parents.

HandS is all about creating community. We believe that parent engagement creates a richer elementary school experience for everyone. We know every family is different; no matter how much or how little time you have to give, we hope we can help you feel connected.

Established in the 1940s, the QFHSA is an independent, incorporated, not-for-profit volunteer, charitable organization. It promotes the involvement of parents, students, educators and the community at large in the education of our children. Home and Schools exist across the province, in schools large and small, in multiple school boards. As a member of several provincial and national organizations, the QFHSA acts as the voice for all families.

HandS Executive Position Descriptions

President

Leads the executive committee, oversees the coordinators, and serves as liaison with stakeholders

Leadership:

  • Facilitates an atmosphere of common purpose and cooperation, creating a cohesive group from many individual talents and interests.
  • Welcomes new members, encourages participation and innovation.
  • Shares responsibility and delegates duties.
  • Instructs new officers and committee chairmen of their duties, and is aware of the importance of planning continuity in office.

Organization:

  • Presides at meetings.
  • Creates the meeting agenda in consultation with other members of the Executive Committee and calls the meeting at the time appointed.
  • Is familiar with the fundamentals of parliamentary procedure, recognizing impartially the rights of all members to participate in discussion.
  • Is knowledgeable about the constitution, by-laws, rules of order and procedure.
  • Signs cheques and documents with 2 other members of the Executive Committee.
  • Presents President’s Year-end Report at Annual General Meeting to members.
  • Submits President’s Year-end Report to the QFHSA office prior to June 30th.
  • Ensures that the Re-affirmation of Membership form is duly signed and submitted to the QFHSA office before October 31.

Liaison:

  • Invites school administrators, staff, and other organizations to exchange liaison representatives.
  • Distributes to the officers, chairmen and members the information and material intended for their use from the provincial federation.
  • Attends or delegates an alternate to represent the association at district, area or regional council meetings.
  • Forwards the names and addresses of the newly elected Executive Committee and Committee Chairmen to the Federation (QFHSA).
  • Organizes representation at the QFHSA Fall Conference and the QFHSA AGM.
  • Attends and reports back on school Governing Board meetings

Vice-President

Acts as aide to the President
  • Presides at meetings in the absence of the President.
  • Assumes responsibility for the administrative details delegated by the President.
  • Represents the Association upon request of the President or of the Executive Committee as the QFHSA liaison.
  • Assumes the duties of the President, in case of resignation or until the position is filled, in accordance with the by-laws.
  • Performs other specific duties that may be provided for in the by-laws, or are assigned by the President.
  • Notifies members not present at the meeting of duties assigned to them.
  • Reminds members of their appointment to committees.

TREASURER

Responsible for the accounting, banking, and budgeting
  • Receives all monies, pays all bills, and does the banking.  If he/she is not able to do the banking then another member will be designated.
  • Keeps an accurate record of all receipts and expenditures.
  • Prepares annual budget
  • Presents regular written reports at meetings and hands out a copy to all members at general meeting.
  • Keeps an inventory of purchases and assets.
  • Submits an annual budget to all members at the first meeting of the school year.
  • Arranges for an audit of the financial books when agreed upon by the Executive Committee.
  • Forwards per capita fees and administration fee to the Federation and other councils when designated in a timely manner.
  • Keeps all cancelled cheques, invoices, receipts, and other financial records for a minimum of six years, in a designated secure area within the school.
  • Confers closely with the President and the Executive Committee and participates in all financial decisions.
  • After each fundraising event, a report to the president on how much was collected and what was accomplished with this money.
  • Prepares the annual Treasurer’s Financial Report to be presented at the Annual General Meeting to the members.
  • Submits Treasurer’s Financial Report to the QFHSA office prior to June 30th.

SECRETARY

Responsible for the recording, writing and distribution of meeting minutes
  • Records an accurate, brief and impartial account of all business transacted at all meetings.  The Minutes should include:
  • Counts the members when a vote is necessary.
  • Sends a copy of the minutes to the president and executive as soon as they are completed for corrections.
  • Minutes of the previous meeting must be sent to all paid members who were present at said meeting at least one week prior to the next scheduled meeting.
  • Presents the Minutes for approval at the next meeting.
  • Ensures that the minutes are kept in perpetuity as an official record of all business transacted and an accurate historical document.

MEMBERSHIP CHAIR

Responsible for the promotion and reporting of membership
  • Promotes an annual membership drive to encourage and increase membership each year.
  • Collects all information on members and gives membership fees to treasurer in a timely manner.
  • Ensures the Head office and local executives have information required to maintain correspondences with the local members.
  • To report membership status to the Officers and Executive.
  • Maintain a list of members in good standing which will be used for voting purposes at all meetings.
  • Supplies updated membership lists to the QFHSA office regularly and a final complete membership list to the QFHSA office before February 1.

COMMUNICATIONS COORDINATOR

Responsible for publicity, social media and sending communications to the school community
  • Media design (flyers, adverts, etc)
  • Write and distribute newsletter and reminders
  • Keep a finger on the pulse of media to do with education, EMSB news, current affairs, etc
  • Post on social media pages
  • Maintain a line of communication with Administration and others (e.g. Grad Committee) regarding the timing of posting of general emails

VOLUNTEER COORDINATOR

Recruits and manages volunteers for HandS programs and events
  • Recruit volunteers 
  • Manage volunteers
  • Inform Coordinators about the process

QFHSA REPRESENTATIVE

Communicates info on news, events and communications regarding QFHSA
  • Responsible for submission of the following to QFHSA: Hands Membership List & Fees

All members of the HandS Executive Committee must have paid their yearly QFHSA membership and are expected to actively participate in HandS meetings and events.

HandS Coordinator Position Descriptions

PIZZA LUNCH (need 3 or 4)

Responsible for planning and running the Pizza Lunch Program (HandS’ biggest fundraiser)
  • Coordinate with school administration for dates
  • With Webmaster, set-up online registration
  • With Webmaster, generate and maintain database of registered students
  • Respond to all emails regarding pizza lunch
  • Source all supplies (pizza, drinks, desserts, compost bags, gloves, etc.)
  • Recruit volunteers
    • set up volunteer sign-up sheets
    • ensure new volunteers complete police background check form
  • Open up and close online registration as needed, with updated prices, throughout the year (with Webmaster)
  • Keep track of revenue & expenses (with Treasurer)
  • At least 2 Coordinators should be present on Pizza Lunch days to supervise

Health Room

Responsible for running the Health Room
  • Ensure the Health Room is stocked with supplies
  • Recruit and train volunteers

GARDEN PROGRAM

Responsible for planning and running the Garden Program
  • Hire community partners to ensure garden beds are well-maintained
  • Work with interested teachers to implement gardening workshops for students

EVENT COORDINATORS

Responsible for the planning, budgeting, and running of specific events such as:
  1. WELCOME BACK PARTY (September)
  2. TEACHER & STAFF APPRECIATION WEEK (February)
  3. END-OF-YEAR PARTY (around June 1st)

LOST & FOUND MANAGER

Responsible for organizing, returning and purging items in the Lost & Found
  • Facilitates the uniform exchange table at HandS events

WEBSITE MANAGER (New position!)

Works with Webmaster to ensure that the website information is up-to-date
  • Send content changes and supporting images to Webmaster
  • Coordinate the event calendar with HandS meeting dates, and any other HandS events
